Senior Executive Assistant to the General Counsel
The Senior Executive Assistant will support General Counsel and legal staff in handling of legal matters for the Hospital which will include preparing general correspondence and legal documents, assisting with special projects; coordinate departmental administrative matters; maintain corporate records and all files associated with the office of General Counsel. Responsible for data entry, taking minutes, and secretarial duties. College degree preferred; High school degree or equivalent required. Must have at least 7-10 year’s administrative assistant or executive secretarial experience, with legal setting experience preferred. Organized, detail oriented, and able to multi-task. Proficient in Microsoft Word, Excel, PowerPoint and otherwise computer literate. Mastery of executive office skills and etiquette. Polished interpersonal and writing skills.
Duties/Responsibilities
- Support General Counsel in handling of legal matters for the Hospital, prepare general correspondence and legal documents, assist with special projects; coordinate departmental administrative matters; maintain corporate records and create and maintain all files associated with the office of General Counsel.
- Manages calendar/schedule for legal staff, scheduling appointments, meetings, luncheons and travel.
- Serve as minute taker to the Executive Committee, Audit and Compliance Committee, Budget Committee, Legal Advisory Committee and Board of Trustees meetings.
- Record all corporate resolutions in master index and maintain corporate minute books.
- Draft committee agendas and reports.
- Responsible for entering all data regarding estate matters and determining follow up actions and providing status report.
- Assist with preparation of charitable gift annuities.
- Handles all confidential material in a responsible and professional manner.
- Assist in coordination of legal interns and Jr. Volunteers assigned to Office of General Counsel.
- Conduct tours of the hospital as may be requested from time to time.
- This staff member may be required to perform other reasonably related duties assigned by the immediate supervisor or other management. Requirements
Required Skills/Abilities
- College degree preferred, High school degree or equivalent required.
- Must have at least 7-10 year’s administrative assistant or executive secretarial experience.
- Good interpersonal and communication skills.
- Excellent grammar, usage, basic writing and proofreading skills.
- General knowledge of probate proceedings and documents.
- Proficient in Microsoft Word, PowerPoint, and Excel and otherwise computer literate.
- Superior shorthand or speed writing skills.
- Mastery of executive office skills and etiquette.
- Possess research and reporting skills.
- Must be organized, detail oriented, and have the ability to multi-task.
- Experience in a legal setting preferred.
